Escorted Tours General Conditions

Below is a summary of conditions which relate to escorted tours with CIE Tours International, Inc. booked with myguideIreland. All rates are in US Dollars unless stated otherwise.

DEPOSIT PAYMENTS: A non-refundable deposit of $250 per person is required for coach tours.

CREDIT CARD PAYMENTS:
Most major credit cards are accepted.

FINAL PAYMENTS:
Full payment must be made no later than ten weeks prior to departure date.

LATE BOOKINGS:
Tours booked between 30 and 14 days prior to departure date will incur a late fee of $50 per reservation in addition to overnight delivery charges when necessary.

LAND REVISION FEE:
Any revision to land arrangements made after the original booking has been processed will incur a $50 handling fee per booking. We cannot accept revisions within 14 days of departure or once we have issued documents.

PARTICIPANT CANCELLATIONS:
All cancellations must be advised in writing (by mail, fax or e-mail) to myguideIreland prior to tour departure during normal business hours (9:00 am to 5:00 pm EST, Mondays through Fridays). Cancellations received within 70 days of departure date are subject to the following penalties on the land portion:

7 & 1 days 50% per person
On day of departure 100% per person

Minimum cancellation fees are $50 per person. All airline fares require instant purchase and are non-refundable. Other airlines' cancellation conditons vary, details should be requested at time of booking. No refund can be made for non-refundable airfares.

TRAVEL INSURANCE: CIE Tours has updated the tour protection plan to safeguard your travel investment more thoroughly - see Travel Insurance below for conditions, benefits and exclusions. We recommend insurance coverage so strongly that we automatically include the cost on your invoice and send the certificate of insurance with your final documents. The premium must be paid at time of deposit for coverage to apply. If you decide not to purchase coverage, deduct premium from your payment.

TOUR MEMBERSHIP:
To promote an enriching travel experience, CIE Tours reserves the right to accept or reject any client and to remove from a tour any person whose conduct is incompatible with the interest of the tour group.

AIR TRANSPORTATION:
myguideIreland has selected airfares to Ireland and Britain that are most suitable when combined with land arrangements. All fares are subject to government approval and are subject to change without notice; airfares are guaranteed once they have been paid and ticketed. Cancellations or name changes made after tickets have been issued are subject to a $150-$200 fee. Cancellations made on non-refundable tickets can receive no refund.

TRAVELERS WITH SPECIAL NEEDS:
Passengers who require particular assistance must travel with a qualified travel companion as CIE Tours drivers and guides cannot provide individualized help for walking, dining, getting on/off transportation vehicles or other personal requirements. As our coaches are not equipped with wheelchair ramps, all tour members must be able to mount 3 or 4 steps into coach. Passengers necessitating unique attention must advise CIE Tours at time of booking. We will make reasonable efforts to accomodate passengers with specific needs but we are not responsible for denial of services by any of our suppliers.

COACH TRANSPORTATION:
Coach tours are usually operated by 48 seat motor coaches. When passengers numbers are low, a smaller coach may be used.

TOUR DIRECTOR:
The entire land portion of all motorcoach tours is conducted by a professional driver/guide and/or tour director as indicated for each tour.

ACCOMMODATION:
Land arrangements are provided as described in each tour program. CIE Tours reserves the right to substitute hotels for accommodations in similar categories. Accommodation in B&Bs (farmhouses, town and country homes) is clean and comfortable but does not include private bath or shower unless specified.

MEALS: Meals are provided as specified in each tour program. Dinners in hotels are on a table d'hote basis.

VISITS, ENTERTAINMENT AND OTHER FEATURES:
CIE Tours reserves the right to substitute visits, entertainment and other features when establishments are closed or cannot be visited for reasons beyond our control.

CIE TOURS
CANCELLATIONS: Tour departures are not guaranteed. If it becomes necessary to cancel a coach tour prior to departure, CIE Tours will offer the next available date at no additional land cost. If this is not acceptable, a full refund of all monies paid to CIE Tours will be made. CIE Tours cannot accept responsibility for any additional costs or fees relating to such a tour booking. If you purchase a non-refundable airline ticket, ensure that your travel agent explains the conditions under which the ticket is issued as CIE Tours is not responsible for any cancellation penalties due to non-refundable airfares.

LUGGAGE:
Handling of one piece of luggage per person is included in the cost of all coach tours. Only one suitcase per person is permitted and size should not exceed 30 x 20 x 10 inches. Luggage is carried at owner's risk throughout the tour unless insured. Hand baggage and small articles such as coats, umbrellas or cameras are entirely in the care of the passengers.

TIPS:
Tips for services of a personal nature and to the tour director and driver are not included in the tour cost and are left to your discretion.

CHILDREN:
Children aged 8 or over are charged the full adult rate on coach tours (less $100 discount) and must be accompanied by an adult. Children under 8 years of age are not permitted to travel on coach tours.

SMOKING POLICY:
Smoking is not allowed on the motorcoach. Frequent stops are made throughout the day where there are opportunities to smoke.

NOT INCLUDED:
All items of a personal nature (room service, beverages, telephone charges, laundry, special food requests, etc.) and meals not specified on the tour itinerary are not included and must be paid by the passenger.

DOCUMENTS:
Documents will be shipped approximately 21 days prior to departure provided full payment has been received. We need sufficient notice to arrange for early delivery by regular service if customers intend to leave home prior to their travel arrangements with CIE Tours. Late bookings will incur an express service delivery charge.

UNUSED TOUR ARRANGEMENTS:
CIE Tours cannot make refunds or exchanges for unused accommodations, services or features of any tour unless agreed upon prior to departure.

CLAIMS OR DISPUTES: You should submit to CIE Tours in writing no later than 28 days after the end of the tour.

LAW:
Passenger contract with CIE Tours is subject exclusively to Irish Law and Jurisdiction for Irish Tours or English Law and Jurisdiction for British Tours.

RESPONSIBILITY: CIE Tours International Inc. (CIE Tours), 100 Hanover Avenue, P.O. Box 501, Cedar Knolls, NJ 07927-0501 is not responsible for any personal injury, property damage or other loss a passenger incurs on any tour arising from acts or omissions by any air carrier, public transport company, hotel, car rental company, subcontractor or other person or organization, whether or not such company is rendering any services supplied on the tour. All tickets and vouchers are issued and supplied subject to the foregoing and to any and all terms and conditions under which transportation and services are provided. CIE Tours reserves the right to decline, to accept or to return any person as a member of any tour or to cancel or alter the tour. Airline tariffs limit liability for passenger baggage.

IMPORTANT:
CIE Tours accepts no responsibility for losses or expenses due to delay or changes in schedules, flight cancellations or misconnections due to mechanical problems, sickness, quarantine, weather, acts of God, strikes, government actions, war or other circumstances beyond its control. Passengers must bear all such losses or expenses. To guard against unforeseen circumstances, we recommend you purchase our optional tour protection insurance plan outlined below.

IMPORTANT NOTICE: Rates are valid to 31st December 2007 and are quoted on a per person, sharing twin room basis. All prices are shown in U.S. dollars and are calculated on currency rates and fares existing on October 1, 2006. CIE Tours reserves the right to alter prices at any time prior to departure and without prior notice if circumstances so warrant. Any devaluation or revaluation of currencies may affect published prices.

Insurance coverage in detail

Our comprehensive Travel Protection Plan has just been improved! In addition to the standard coverages outlined below, we have realised the CIE Tours Trip Cancellation Waiver to allow you to cancel, for any reason, up to 5 days prior to departure. The Travel Protection Plan may only be purchased with the initial trip deposit and the plan payment is non-refundable.

$169 for tours from $1,500-$1,999
$199 for tours over $2,000


WHY PURCHASE TRAVEL PROTECTION? THE CIE TOURS PLAN...

  • Permits you to cancel your trip at any time prior to departure for a covered reason and up to 3 days before your scheduled departure for any reason not otherwise covered.
  • Covers direct air flights to and from your scheduled land tour departure and return cities even if the flights are not booked by CIE Tours, provided the flights are within 7 total days of the land tour dates and you cancel or interrupt your trip for a covered reason listed in Parts A or B below.
  • Protects you and your belongings while on your trip.

CIE TOURS TRIP CANCELLATION WAIVER BENEFIT

When you purchase the CIE Tours Travel Protection Plan at time of initial trip deposit, you also qualify for the CIE Tours Trip Cancellation Waiver. This allows you to cancel your CIE Tours travel arrangements up to 3 days before your scheduled departure for any reason not covered by the Travel Protection Plan. Under this benefit, CIE Tours will refund the amount of your cancellation penalty in CIE Tours travel certificates, with the balance of the refund made in cash or by credit card. See General Conditions for cancellation penalties.

CIE Tours Travel Certificates are non-refundable, valid for one year from date of issue (but no later than 15 months from the date your trip was canceled) and may not be redeemed for cash. The waiver does not cover the single room supplement charge that is applicable if one person cancels from a twin room, which then becomes a single room. CIE Tours requires written notice of cancellation during normal business hours. This benefit covers those arrangements purchased from CIE Tours. For cancellations for covered reasons, see Part A below.

CIE TOURS TRAVEL PROTECTION PLAN BENEFITS

PART A - TRAVEL ARRANGEMENT BENEFITS
(Part A Benefits are provided by CIE Tours)

Trip Cost - Pre-Departure Trip Cancellation
If you have to cancel your trip due to a covered Injury, Sickness or death - your own or that of a Traveling Companion or an Immediate Family Member - or for Other Covered Events, as defined, you will be reimbursed up to the trip cost for cancellation charges imposed on travel arrangements provided by CIE Tours and/or an airline providing direct air flight to and from your scheduled land tour departure and return cities (even if the flights are not booked by CIE Tours), provided the flights are within 7 total days of the land tour dates.

PART B - TRAVEL INSURANCE BENEFITS
(Part B Benefits are provided by the Insurance Companies listed below)

Trip Cost - Post-Departure Trip Interruption
If you must interrupt your trip after departure due to a covered Injury, Sickness or death - your own or that of a Traveling Companion or an Immediate Family Member - or for Other Covered Events, as defined, you will be reimbursed for the unused, non-refundable land arrangements and the additional transport costs to return home or to rejoin your trip (limited to economy one-way airfare or first class, if original tickets were first class).

Trip Cost - Delayed Arrival
You are reimbursed for the additional transportation expense paid incurred and/or the unused, non-refundable land arrangements if your arrival on your tour is delayed beyond your scheduled arrival date, because of delay or cancellation by an air carrier dute to inclement weather, mechanical breakdown or organized labor strike.

$500 Travel Delay
Provides benefits up to $100 per day for reasonable additional hotel accommodations, meals, telephone calls, and local transportation until travel becomes possible if you are delayed for more than 12 hours due to a covered reason such as common due to a covered reason such as air carrier delay; Injury, Sickness or death of you or your Traveling Companion; quarantine; loss of passport, travel documents or money; or natural disaster; or road closure by a government authority due to adverse weather conditions.

$25,000 Accidental Death & Dismemberment
These benefits are paid if loss occurs within 365 days of a covered injury which occurs while on a CIE Tours trip.

$25,000 Medical Expense/Emergency Assistance
Provides reimbursement for reasonable and customary medical expenses incurred within 365 days of a covered sickness which occurs while on your trip; emergency dental treatment received during your trip; the costs of emergency transport to home or an appropriate hospital, including escort expense (both, if deemed necessary by the attending physician), for a covered Injury or Sickness which occurs while on your trip; or the cost of homeward carriage if deceased.

$2,000 Baggage and Personal Effects
Coverage for direct physical loss or damage to your baggage, passport or visas while on your trip. A $500 maximum limit applies to jewelry, gems, watches, cameras and camera equipment; digital or electronic equipment; and furs - a $250 per article limit applies to all other items.

$250 Baggage Delay
If, while on your trip, your baggage is delayed for 24 hours or more, we will reimburse you up to $250 for the purchase of necessary additional clothing and personal articles.

Exclusive Family Protection
Children 12 and under receive full coverage at no additional charge when all accompanying adults purchase the plan.

Travel Protection Plan Terms, Conditions & Limitations

Certain exclusions and limitations apply and are detailed in the Description of Coverage Brochure. For example, coverage does not apply to: any sickness or condition of you, a Traveling Companion or an Immediate Family Member traveling with you that existed during the 60 days prior to the effective date of the coverages (this exclusion is waived if you purchase the plan within 7 days of your initial deposit/payment for your trip and you are not disabled from travel when you make your plan payment), suicide, normal pregnancy, war or any act of war, mental or nervous disorders. Other Covered Events, as defined, includes the following events or their consequences: Post-Departure Trip Interruption due to cancellation of arrangements by an airline due to strike, mechanical breakdown or bad weather; Trip Cancellation or Interruption due to a documented traffic accident while en route to departure; jury duty; destruction of your residence by a natural disaster; or a documented theft of passports or visas. Immediate Family Member means the following relatives - your or those of your Traveling Companion - spouse, child, spouse's child, daughter-in-law, son-in-law, brother, sister, mother, father, grandparent, grandchild, step-brother, step-sister, step-parents, parents-in-law, brother-in-law, sister-in-law, aunt, uncle, niece, nephew, guardian or ward. A Traveling Companion is defined as a person booked to share accommodations in the same room with you during your trip. Sickness or Injury must require care by a Physician and must commence while the Travel Protection Plan is in force for you. This plan does not cover a loss that results from an illness, disease, or other condition (of you, an Immediate Family Member, Traveling Companion or Business Partner), event or circumstance which occurs at a time when this plan is not in force for you.
